In this privacy policy, we, the SPORTEGRATION Association, inform you about the data we collect about you, why we process it, and to whom we disclose it, to ensure transparent and lawful data processing on our part. We provide you with the information you need to exercise your rights under the applicable Swiss Data Protection Act (DSG). Direct Acquisition of Personal Data

We primarily process the personal data that we obtain from you as a member of the association, as a participant in our training sessions, as a donor, as a volunteer (coach, teacher, other), as a sponsor, or their employee, as a student, as a board member or employee of our association, as a job applicant, as a business partner, as a member of the media, or as an interested party, and which we require to achieve the purposes set out in section 3 (e.g., first and last name, address, residency status, living situation, date of birth, gender, nationality, country of origin, email address, phone number, organization, role, application documents, hobbies, and any other information related to you that you provide to us verbally or in writing).

Indirect Acquisition of Personal Data

We may also obtain data from the following sources:

  • from publicly accessible databases (e.g., rankings, social media platforms, commercial registers, press, internet);
  • authorities and other third parties (such as your employer, doctors, psychologists, government or school employees).

The categories of personal data we obtain indirectly about you include, in particular, information:

  • from public registers;
  • photos of participation in trainings, courses, and other events;
  • related to administrative and judicial proceedings;
  • related to your professional functions and activities (so that we can, for example, conclude and process transactions with your employer with your assistance);
  • about you in correspondence and meetings with third parties;
  • about you, provided by individuals in your environment (family, advisors, legal representatives, etc.), so that we can conclude or process contracts with you or involving you (e.g., references, your address for deliveries, authorizations, compliance with legal requirements);
  • from banks, insurance companies, distribution and other contractual partners of ours for the provision or utilization of services by you (e.g., payments made, purchases made);
  • from media and the internet about you (where this is appropriate in the specific case, e.g., in the context of an application, press review, marketing/sales, etc.).

Please note that you may only provide us with data from third parties (such as coworkers or family members) if you have informed the individuals concerned in advance about the processing by SPORTEGRATION by referring them to this privacy policy.

Purposes of Data Processing

We process your personal data for the following purposes:

  • for the execution of our association's activities (particularly the organization of trainings, sports courses, and other sports events as well as other events - possibly not organized by us), participant management, processing and receipt of donations, coordination and deployment of volunteers, management of sponsors and partners, and conducting school courses);
  • for the preparation and conduct of board meetings and membership management;
  • for the initiation and execution of contracts with you (e.g., as an employee of ours) and/or with third parties (e.g., your employer as our business partner);
  • for the processing of orders in our webshop;
  • to review and respond to your inquiries (e.g., a request to participate in our training courses and other sports events) or communicate with you in other ways (e.g., sending informational emails or responding to contact requests);
  • in recruitment processes, where personal data are necessary for assessing suitability for employment;
  • for the performance of an employment contract (in particular personnel administration, employee assessment and development, and work and deployment planning); to carry out advertising and marketing measures (including sending newsletters);
  • preparation and conduct of other events (e.g., general assemblies, volunteer events);
  • to ensure the availability and security of our website;
  • for the improvement and further development of our services and website;
  • to comply with legal and/or regulatory obligations;
  • to enforce or defend legal claims in and outside of legal proceedings;
  • to prevent and investigate crimes and other misconduct;
  • to safeguard other legitimate interests of SPORTEGRATION.

If you have given us consent to process your personal data for specific purposes (for example, when subscribing to newsletters or for photo and video recordings at our events), we will process your personal data within the scope and based on this consent. Photo and video material may subsequently be used for the promotion of SPORTEGRATION (e.g., by publishing on our website or social media). Consent given can be revoked at any time. This will, however, not affect data processing that has already taken place.

Recipients of Personal Data

For the processing of your personal data according to section 4, we may engage external service providers. These primarily include IT, CRM, newsletter, cloud, and hosting providers, as well as providers of productivity tools and accounting software. We verify these recipients regarding compliance with data protection as necessary and obligate them to process your personal data exclusively on our behalf.

If deemed necessary within the scope of the purposes outlined in section 4, we may also disclose your data to third parties, especially our business partners (including payment service providers), sponsors, community partners, government agencies, participants of SPORTEGRATION events, as well as other private and/or governmental entities. These recipients will then process the relevant data not on our behalf and according to our instructions, but for their own purposes and under their own responsibility in accordance with their own privacy policies.

Disclosure to abroad

The recipients of your personal data mentioned under Section 7 are typically located in Switzerland or in the EU or EEA area, but may, in principle, be situated anywhere in the world.

If we transmit your personal data to a recipient in a country without adequate legal data protection, we ensure adequate data protection through corresponding contracts (standard data protection clauses approved, issued, or recognized in advance by the Federal Data Protection and Information Commissioner [FDPIC]) and, if necessary, additional protective measures, or rely on the legal exceptions of consent, contract performance, establishment, exercise, or enforcement of legal claims, overriding public interests, published personal data, or the necessity to protect your integrity. Retention Period

We process your personal data for as long as necessary to fulfill our contractual and/or legal obligations or otherwise for the purposes pursued with the processing, i.e., for the duration of the entire contractual or employment relationship (i.e., from initiation, processing to termination of the contract) and beyond according to any applicable legal retention and documentation obligations. It is possible that personal data may be retained for the period during which claims can be asserted against us and to the extent that we are otherwise legally obligated or our legitimate business interests require it (e.g., for evidentiary and/or documentation purposes). Once the purposes and/or laws no longer require it, your data will be deleted or anonymized.

Data Security

We implement appropriate security measures to maintain the confidentiality, integrity, and availability of your personal data, to protect them against unauthorized or unlawful processing, and to mitigate the risks of loss, accidental alteration, unintended disclosure, or unauthorized access.

Automated Individual Decision-Making

We refrain, in principle, from conducting automated individual decision-making, meaning decisions based solely on automated processing (without human intervention) that has legal effects on you (e.g., refusal of contract conclusion) or significantly affects you in other ways. If we exceptionally make such decisions, you will be informed on a case-by-case basis.

Cookies

Our web server automatically logs each visit to our website in a temporary log file. User-specific data (e.g., browser information, IP) as well as technical data (e.g., name and URL of the referring website) are logged for connection establishment and optimization of your website visit, where we may also use so-called "cookies" (see Section 5).

We use cookies (temporary codes stored in your browser) on our website to ensure a seamless browsing experience for you. These include session cookies, which, for example, identify trusted visitors or track the playback of embedded videos. Session cookies are deleted after the end of your website visit.

Additionally, we also use cookies to store user settings and other information for a specific period ("persistent cookies"). We utilize targeting cookies from YouTube to track user settings for YouTube videos embedded on our website and to determine whether the website visitor is using the new or old version of the YouTube interface. This cookie is stored for 13 months.

You have the option to configure your browser to block or delete cookies at any time. However, if you block cookies, certain functionalities on our website may not be available. Furthermore, please note that if you click on a link to a third-party offering, we are not responsible for the further processing of your data, and you should contact the respective third-party provider.

Social Media

We may maintain our own presence on social networks and similar third-party platforms. When you communicate with us through such platforms or comment on or share our content, we collect relevant information and process it in accordance with our privacy policy. At the same time, the platforms analyze your use of our online presence and link this data with additional information known to the platforms about you (e.g., your behavior and preferences). They process this data for their own purposes under their own responsibility, particularly for marketing and market research purposes (e.g., to personalize advertising) and to manage their platforms (e.g., determining which content to show you).

We process this data for the purposes described in Section 4, including communication, marketing purposes (including advertising on these platforms), and market research. Content published by you (e.g., comments on an announcement) may be further disseminated by us (e.g., in our advertising on the platform or elsewhere). We or the platform operators may also delete or restrict content from or about you in accordance with the platform's acceptable use policies (e.g., inappropriate comments).

We operate a Facebook page at https://www.facebook.com/sportegration. The responsible entity for the operation of the platform for users from Europe is Meta Platforms Ireland Ltd., Dublin, Ireland. Regarding the data collected and processed when visiting our page for the creation of "Page Insights," we are jointly responsible with Meta Platforms Ireland Ltd., Dublin, Ireland. Page Insights generates statistics on what visitors do on our page (comment on posts, share content, etc.). This is described at https://www.facebook.com/legal/terms/information_about_page_insights_data. It helps us understand how our page is used and how we can improve it. We only receive anonymous, aggregated data. Our data protection responsibilities are governed according to the information provided at https://www.facebook.com/legal/terms/page_controller_addendum.

We have a profile on Instagram at https://www.instagram.com/sportegration_official. The provider is Instagram Inc., Menlo Park, USA, which is part of the Meta group (Facebook). In connection with the operation of our Instagram profile, we use the Instagram Insights feature to obtain statistical evaluations of the users of our posts. Videos

We embed videos from YouTube directly on our website. The provider is Google Ireland Limited, Dublin, Ireland. Information on the handling of user data can be found in YouTube's privacy policy. Further details can be found in the Privacy and Security Center as well as in My Data on YouTube.

When you visit one of our pages on which a YouTube video is embedded, a connection to YouTube's servers is established. If you are logged into your YouTube account, you allow YouTube to directly associate your browsing behavior with your personal profile. You can prevent this by logging out of your YouTube account.

Notice regarding Consent and Your Rights

You can revoke any consent you may have given for the processing of your personal data at any time with effect for the future by contacting us in writing at the address specified in Section 1.

You have the right to request information, correction, deletion, and transfer of your personal data to another entity. Please note that we reserve the right to invoke legally prescribed restrictions, such as when we are obliged to retain or process certain data, have a predominant interest therein, or require them to assert claims.

To exercise your rights, proof of identity is required (e.g., by presenting a copy of your ID). You can contact us at the address specified in Section 1 to exercise your rights.

You have the right to enforce your claims in court or to contact the competent authority. The competent data protection authority in Switzerland is the Federal Data Protection and Information Commissioner (http://www.edoeb.admin.ch).

Amendments

We reserve the right to modify this privacy policy at any time without prior notice. The current version published on our website shall apply.
